Privacy Policy

TAKCTRL is a technology services business based in Chennai, India, operated as a sole proprietorship by Karthikchidambaram Annamalai. Alongside bespoke software development, web development, and AI/automation projects, we build and operate billing and service-management software ("the Software") that we license to client businesses ("Partner Businesses") such as repair, service, and retail shops.

This policy covers takctrl.in and every subdomain we operate for a Partner Business (for example, an instance of the Software running at a *.takctrl.in address or on app.undertakctrl.com). It applies to two kinds of people:

• Visitors and prospects who contact TAKCTRL directly — see “If You Contact Us Directly”.
• End customers of a Partner Business, whose details a Partner Business enters into the Software to run their own billing and service jobs — see “Our Business Management Software”.

When you contact us via WhatsApp or our website (takctrl.in), we may collect:

• Your name and phone number (shared when you initiate a WhatsApp conversation)
• Any additional details you voluntarily share (project requirements, email address, etc.)

We use this only to respond to your inquiry, discuss project scope and timelines, and send invoices or project documents where applicable. We do not run a sign-up system, e-commerce store, or collect payment information directly, and we do not use tracking cookies or analytics tools beyond what is standard on any basic website.

A Partner Business uses the Software to record their own customers' and suppliers' details, service jobs, and billing — for example a customer's name, phone number, address, the product or job in for service, and the resulting invoice amount. This information is entered by the Partner Business, not collected by TAKCTRL directly from their customers. The Partner Business is responsible for having proper notice and consent with their own customers; TAKCTRL acts as the software provider and data processor operating the platform on their behalf.

We use this data solely to run the Software for that Partner Business: storing and retrieving their records, generating bills and reports, and sending the transactional WhatsApp notifications described below. A Partner Business's data is isolated from every other Partner Business using the platform.

TAKCTRL is registered as a technology provider on Meta's WhatsApp Business Platform. On behalf of each Partner Business, the Software sends automated, transactional WhatsApp messages to that Partner Business's own customers at defined stages of a job or bill — for example, job received, estimate ready, work approved, ready for collection, and bill ready — using WhatsApp message templates pre-approved by Meta.

Only the phone number and job/billing details needed for that specific message (such as the customer's name, bill number, and amount) are shared with Meta via the WhatsApp Cloud API to deliver it. We do not use WhatsApp to send marketing or unsolicited messages, and every message we send uses an approved, transactional template. WhatsApp's handling of message content is additionally subject to WhatsApp's own Privacy Policy.

The Software includes an optional AI assistant (currently powered by Google's Gemini API) that Partner Business staff can use to look up records, draft messages, or propose a bill or job entry from a plain-language request. Only the information needed to answer that specific request — for example matching product or customer records — is sent to Google's API. The AI never finalizes a transaction on its own: every AI-proposed bill, job, or entry is shown as a draft that a Partner Business staff member must review and confirm before it is saved.

The following service providers process data on our behalf, only to the extent needed to run the Software:

• Supabase, Inc. — hosts our database and handles user authentication.
• Google — provides the Gemini AI model used by the in-app assistant.
• Meta Platforms, Inc. — delivers WhatsApp notifications via the WhatsApp Business Platform.
• Hostinger — hosts this website and, for some Partner Businesses, the Software itself.

Each provider is bound by its own terms and security practices and may only use the data to provide its service to us — not for their own independent purposes.

Software data is stored on Supabase's infrastructure with per-Partner-Business access controls, so one Partner Business can never see another's records. Data is encrypted in transit, and access is limited to authorized staff of the relevant Partner Business plus TAKCTRL personnel providing support. Conversations initiated with us directly on WhatsApp are stored on WhatsApp's servers, subject to WhatsApp's own Privacy Policy.

We retain a Partner Business's operational data for as long as they use the Software, and afterward only as needed for accounting/tax obligations or as agreed with that business. Direct-contact records (see above) are kept for the duration of our engagement and up to 2 years thereafter.

We do not sell personal data, and we do not use it for advertising or ad-targeting, either our own or on behalf of a third party.

Under India's Digital Personal Data Protection Act, 2023, you have the right to:

• Know what personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data (where no legal obligation requires retention)
• Withdraw consent at any time

If you're a customer of a Partner Business using our Software, please raise data requests with that business first, since they control their own customer records — we assist them in fulfilling verified requests as the software operator. We may update this policy from time to time. The latest version will always be available at takctrl.in.
